Terms & Conditions
These Terms & Conditions apply to all students enrolled at Collective Performing Arts. By enrolling your child, you agree to the following:
1. Enrolment & Term Dates
- Enrolment at Collective is continuous; once a student is enrolled, their place automatically carries over into each new term.
- Families are responsible for fees each term unless the required notice (see Section 3) is given.
- Classes run across three terms per year: Spring, Summer, and Autumn (10 weeks each).
- Students must be registered via our Class for Kids platform. Invoices are issued automatically for each term.
- Class timetables may be subject to change; reasonable notice will be given.
2. Fees & Payments
- Fees are charged per term and are payable:
- In full before the start of term,
- Half-termly (two instalments, due the first week of each half term), or
- Monthly (due on the 1st of each month).
- The first instalment/term fee must be paid before the first Saturday of term to secure a place.
- A late payment fee will be applied if payments are not received on time: £10 for the first week overdue, plus £5 for each additional week late.
- If you are unable to make a payment, please contact us immediately to discuss options.
- Fees are reviewed annually and may be subject to change. Parents/guardians will be notified of any changes before the start of the term.
- Fees are non-refundable once the term has started.
- Missed classes (including due to illness, holidays, or other commitments) cannot be refunded or credited.
- If a class is cancelled by Collective, a replacement class or refund will be offered.
3. Notice & Cancellations
- Withdrawal or Changes: If a student wishes to leave Collective or change/drop any classes, written notice must be given by the end of the preceding half term.
- · Example: To withdraw a student for the Autumn term (September-December), written notice must be received no later than May half term.
- Notice given during school holidays will not be accepted for the upcoming term.
- Enrolment is ongoing, and students will automatically be re-enrolled each term unless the required written notice is received by the deadline above.
- Failure to provide the required notice will incur a charge of half a term’s fees for each class the student is enrolled in.
- If a student withdraws partway through a term, fees for the remainder of that term remain payable in full.
- Collective reserves the right to refuse or cancel enrolment due to non-payment, repeated absence, or disruptive behaviour.
4. Health, Safety & Liability
- Parents/guardians must disclose any relevant medical conditions, allergies, or additional needs before enrolment.
- Students take part in classes at their own risk. While all reasonable care is taken, Collective cannot accept liability for injuries sustained during classes, rehearsals, or performances.
- In the event of illness or injury during class, first aid will be administered where necessary and parents/guardians will be contacted immediately. If urgent, emergency services may be called.
- Appropriate dance attire and footwear must be worn to reduce risk of injury.
- Parents/guardians are responsible for the safe arrival and collection of their children.
- Children under 6 must be accompanied by a parent/guardian for drop-off and pick-up.
5. Safeguarding & Child Protection
- Collective is committed to providing a safe and inclusive environment for all students.
- All staff follow safeguarding procedures in line with local and national guidance.
- Any safeguarding concerns will be dealt with in accordance with statutory requirements and referred to the appropriate authorities where necessary.
6. Uniform & Attendance
- Pupils are expected to attend regularly and arrive promptly.
- Correct uniform and footwear must be worn for all classes (uniform details are provided separately).
- Hair should be tied back neatly for safety.
7. Examinations, Shows & Performances
- Where students are entered for examinations, additional fees apply (exam entry and extra coaching).
- For performances or shows, parents are required to pay costume costs.
- Attendance at extra rehearsals for shows/exams is compulsory to ensure fairness and quality of performance
8. Photography & Media
- Collective may take photos and videos of classes, rehearsals, and performances for promotional purposes (e.g., website, social media, brochures).
- Parents/guardians will be asked for consent at enrolment. If you do not wish your child to be included, please inform the school in writing.
9. Data Protection
- Personal data collected by Collective is stored securely and used only for the administration of classes and communication with parents/guardians.
- Data is handled in accordance with the General Data Protection Regulation (GDPR).
- We will never share personal information with third parties without consent, unless required by law.
10. Weather & Unforeseen Circumstances
- In the event of extreme weather, teacher illness, or circumstances beyond our control, Collective will make every effort to reschedule missed classes.
- Refunds may not always be possible in such situations.
11. Complaints
- Collective is committed to resolving issues fairly and professionally.
- If you have a concern, please raise it directly with the teacher in the first instance.
- If the matter cannot be resolved, a formal complaint should be submitted in writing to the school director.
- All complaints will be handled confidentially and in line with safeguarding and data protection requirements.
12. Code of Conduct
- Respectful behaviour is expected at all times towards teachers, fellow students, and parents.
- Bullying, disruptive behaviour, or damage to property will not be tolerated.
13. Communication
- Important updates will be shared via email, text, or notice boards. Parents/guardians are responsible for checking communications.
- Please notify us promptly of any changes to contact or medical details.
